Use Cases

What Multiverse delivers in day-to-day work — sorted by team.

For accounting

Monthly billing in an hour instead of days

Before: log in to portal after portal, copy numbers by hand, maintain Excel sheets, create invoices manually. Today:

  1. Multiverse collects all license and usage figures per customer every night.
  2. At the start of the month, the invoice run (automatically on schedule or on click) generates a PRE invoice in weclapp covering the previous month for every mapped customer.
  3. Accounting checks the PRE invoices in weclapp and approves them — done.

The run shows beforehand which customers are unmapped (they would not be billed) — control before invoicing instead of complaints afterwards.

Quantity checks for customer inquiries

A customer disputes the 42 billed Microsoft licenses? The portal view shows every single day of the billing month via the date switcher, and the trends show when the quantity rose from 40 to 42. Every number is verifiable down to the day.

Reconciling purchases against sales (Microsoft)

The ALSO↔Microsoft reconciliation compares, per customer, what we purchase from ALSO and what is booked and assigned in the tenant. Differences = margin given away (more purchased than used) or revenue forgotten (more assigned than billed).

Special prices and special items per customer

Customer-specific prices, deviating line-item texts, flat rates or one-off extra items are stored once in the mapping (overrides, extra articles, services) and from then on automatically end up on every monthly invoice.

Export for tax advisors & controlling

The CSV export delivers filtered monthly figures (customer, service, period) as an Excel-ready file — for analyses outside weclapp.

Auditability

Every merge, every mapping, every reset and every generated document is traceable in the audit log with timestamp and actor.

For engineering & purchasing

Finding zombie licenses

Autodesk shows active users per product (60-day window) — whoever pays but does not use it is a candidate for cancellation or a plan change. Meraki shows unused inventory devices, Microsoft 365 the difference between purchased and assigned licenses.

Cost control for consumption services

Azure consumption per subscription, Hetzner servers per customer, SMTP2GO sending accounts: outliers stand out immediately in the trends — before the distributor's invoice arrives.

Customer onboarding/offboarding

A new customer? After the next snapshot they automatically appear in all relevant portals; merge once, map in weclapp — from then on they are included in the monthly billing. During offboarding the portals show where leftover licenses remain.

For management

  • One look instead of twenty logins: The dashboard shows the inventory of all business areas (seats, devices, servers, amounts) with a monthly trend.
  • Growth per customer: Trends per customer across all services — who is growing, who is shrinking, where sales attention pays off.
  • A clean data basis: Billing, analysis and history come from the same source — no more Excel copies maintained in parallel.
